Audley Travel

The Customer

Audley Travel founded in 1996 specialises in worldwide tailor-made holidays and tours.  Based in Witney, Oxfordshire with a turnover of over £50 million they employ over 170 people. The company has gone from strength to strength originally specialising in tours of Asia they have grown to provide holidays in Africa,  Australasia, South America and many more destinations.

 

The Challenge

Audley Travel did not have a specific person with overall responsibility  for printing equipment and there were several suppliers that they had dealings with. With this in mind Audley Travel needed to standardise the service of their digital print equipment. To be able to streamline processes Audley Travel required greater user and device productivity. In addition, the lack of a specific owner for all of their printing devices  meant equipment was not actively managed and costs were not monitored.

Audley Travel had many machines throughout their Witney office, including eight Xerox Phaser 6360/6350’s and ten HP LaserJet 4200/4250’s. These desktop printers were used to print multi-page bespoke quotations therefore image quality, speed and overall productivity were vital requirements for Audley Travel’s print equipment. However, with the colour printing on these desktop printers making up 69% of the total printing volume, it meant unplanned consumable spends that were both costly and time consuming. Reactive service and support for the desktop printers meant longer downtime on the equipment which impacted the user productivity.

 

The Requirements

  • To control and manage their costs, delivering a cost reduction for 2011.
  • To increase staff productivity, speed of information and quality of information, all of which would improve overall productivity within Audley Travel.
  • To reduce the IT department’s involvement with printing equipment.
  • To reduce service calls by eliminating consumable orders and technical support calls.

 

The Solution

Audley Travel replaced seven of their Xerox Phaser 6360/6350’s and seven HP LaserJet 4200/4250’s with six Xerox Colour 550 Printers. In addition doc-Q-manager software was installed to direct their print to particular machines in order to balance the print volume across the devices. Lastly, Audley Travel retained one Xerox Phaser 6360 and three HP LaserJet 4250’s which are to be managed by First Copy.
Audley Travel chose First Copy as their document solutions provider to enable them to grow, control and manage their costs and standardise the service.

 

The Results

  • A cost saving of £24,346 per annum on printing equipment and maintenance. A total saving of 22%.
  • Increased productivity with print speeds going from 35 ppm to 50 ppm and improved processing power.
  • Minimised IT involvement with digital print equipment.
  • Total print volume spread evenly across the six machines.
